How do WhatsApp field updates become a project summary?

The short answer

To turn WhatsApp field reports into a project report, plan how messages arrive: each message is assigned to a project, and the original material is kept. In this example, the project manager checks the draft before it is distributed. Ask the supplier to demonstrate what happens to an unassigned recording and a correction arriving after the first report.

What does the project manager need from the field?

Define what each report entry should show: completed work, its location and pending actions. Illustrative example, not a customer result: a field team sends pictures and recordings to the business number, and a project manager prepares a report.

Agree who reports, supplies missing details and approves the text. Before connecting an existing group or the official WhatsApp Business API, ask the supplier to show how it works in your intended account. Do not rely on a promise that everything posted in a group will automatically enter the report.

How does a field message become a report entry?

To turn a field message into a report entry, save the original, draft the entry and have the project manager check and approve it.

Keep the original message beside the draft entry so the reviewer can return to it.

  1. Include the project, location and completed work in each report.
  2. When a message arrives, record the sender and arrival time, save the file, and flag material that was mentioned but did not arrive.
  3. Transcribe recordings and keep the audio available beside the transcript.
  4. Draft an entry naming completed work, open questions and follow-up actions.
  5. The project manager corrects the draft and confirms its project assignment before the entry goes into the report.
  6. Distribute the report at the agreed time with links to original material and approved corrections.

Read OpenAI's documentation:

The model is for transcribing recorded speech in its original language [1].

Ask the supplier to keep the Hebrew recording available beside the transcript during the demonstration. Check whether a place name or instruction reached the draft correctly, and correct the text before approval.

Read Google Cloud's speech-recognition guidance:

Excessive background noise and echoes may reduce accuracy [2].

What happens when a file or project assignment is missing?

Give each report that is not ready for inclusion a clear status. This table is an exercise in handling missing material, not a customer result.

Illustrative event Record display Action before approval
Text arrives without a project name Awaiting assignment Project manager supplies the project
A message mentions an unsaved picture Original file missing Request another upload
A correction follows the recording Correction needs checking Keep the original and corrected wording
The same message arrives again Possible duplicate Compare before adding another entry

Ask the supplier to open the report during the demonstration and return to its message and correction. Check that missing material is not shown as approved. If the project manager has not decided, leave the entry outside the approved part.

What affects field-reporting costs?

Request an estimate that separates the WhatsApp connection, file storage, transcription, drafting and upkeep. Include the project manager's checking time. Ask how extra projects or a recording resent after correction affect the estimate.

If the plan includes WhatsApp reminders from the business, ask the supplier to explain message charges and show the provider's current pricing terms at the source.

What upkeep looks like

Agree who checks that messages arrive and are assigned, and who handles a failure, including after report distribution.

  • Monitoring: compare received messages with created records and saved files.
  • Failure handling: name an owner for connections and an owner for report corrections, with agreed response times.
  • Weekly review cadence (suggestion): inspect unassigned reports and transcripts awaiting approval.
  • Continuity: retain file access and manual-report instructions in business accounts when automatic receipt of messages stops.

Questions about WhatsApp field reports

Can we keep reporting in the existing group?

Keep using the existing group only if the supplier demonstrates, in your group and the account you plan to use, that messages from the group reach the system and are saved. In this example, the team sends messages to the business number.

What if the transcript is unclear?

Ask the reporter to clarify the unclear passage. Keep the clarification with the report so a later approver does not have to guess what the reporter meant.

Must we send a summary at the end of every day?

No, the business decides when to send the report. You can use a fixed time or wait for the project manager's approval. Check what the project manager needs and when.
